Refresh ensures dashboards show current data—scheduled refreshes run nightly (cloud data sources) or on-demand.
Workflow: Build & test in Desktop → Publish to Service → Create a workspace → Share with stakeholders → Configure refresh. If your data is in Excel on OneDrive: Power BI Service refreshes every 8 hours (free tier). If data is in SQL Server: refresh every 15 minutes (Premium). Always notify users of refresh schedule so they know when data is fresh.
Row-Level Security (RLS): In a multi-region company, hide each region manager's data from others. Use RLS rules in Power BI Service to enforce "Sales data WHERE Region = USERNAME's Region" automatically. This avoids creating separate reports for each user.
